Sourced job adverts
Version 1.0 — last updated 23 September 2026
Tideward shows maritime job adverts that were first published on other websites. This notice explains where those adverts come from, what we keep and show, how to have one removed, what happens when a seafarer is interested in one, and how the recruiter named on an advert can stop hearing from us.
1. About this notice
1.1 Who we are
Tideward is operated by Rogue Star Marine Software Ltd, trading as RSM Software (company HE496769, registered office Pavlou Aggelinide 21, 3110 Limassol, Cyprus), referred to here as we, us and our. Full company details are on the Legal page.
1.2 Who this notice is for
- job boards whose adverts appear on Tideward;
- employers and recruiters named in those adverts;
- seafarers who read those adverts or act on them.
1.3 Definitions
- Job board: a third-party website that publishes maritime job adverts and from which we collect them.
- Sourced advert: a job advert we have collected from a job board. It is different from a position that a company publishes on Tideward itself.
- Employer: the company a sourced advert names as the one hiring.
- Recruiter: the person or office a sourced advert names for applications, together with the contact details the advert publishes.
- Profile card: the short card a seafarer can share from their Tideward profile, showing their display name, rank, headline and availability and the date they began sharing it.

2. How we collect sourced adverts
2.1 Our own collection software
We run our own software that reads job adverts published on job boards and delivers them to Tideward in batches.
2.2 Every job board is recorded and reviewed
Each job board has an entry in our register. The entry records:
- the outcome of our review of the board's terms of use: allowed, allowed with conditions, or refused, with the reviewer's notes and the date the review is next due;
- how much of an advert the board's terms let us keep (see 2.4);
- any credit line and link the board asks for;
- what our collection software has recorded about the board's robots policy;
- a contact at the board for takedown requests;
- the member of our staff who is accountable for collecting from that board.
Our practice is to review a board's terms of use and robots policy before we switch collection from it on, and to review them again when the review date comes round. A newly added board starts switched off. A board whose terms we have concluded do not allow collection is refused, and nothing it delivers is accepted. When a board is switched off, every advert collected from it leaves Tideward at once.
2.3 Every batch carries a statement
With every batch, our collection software states whether it honoured the board's robots policy and stayed within the board's terms, and which version of the software produced the batch. We keep that statement with a receipt of the batch.
2.4 What we keep from an advert
- the position: title, rank, vessel type, location, join date, contract length, and the dates the advert was posted and closes;
- the employer's name and, where the advert gives them, its registration number and country;
- the salary, as the advert states it;
- the recruiter's name, email address, telephone number and postal address, as the advert publishes them;
- the board's own reference for the advert and the address of the original advert;
- the text of the advert, but only as far as the board's terms allow.
How much text we keep depends on the board's licence mode:
- Link only: the facts above and the address of the original advert, and none of the advert's text.
- Snippet: the facts above and the advert's text up to a character limit set for that board. An advert whose text is longer than the limit is refused rather than cut down.
- Full: the whole advert, and only where the board has given us permission in writing.
2.5 What we do with the facts
We match the advert's rank and vessel type to Tideward's own reference lists. Where the advert gives the employer's registration number and country and they match a company already registered on Tideward, or where our staff confirm the match, we link the advert to that company. We never create an account, a company record or a seafarer record on Tideward from a sourced advert.
3. What we show, and how adverts are credited
3.1 On the public jobs page
Anyone can read published sourced adverts on our jobs page. For each advert it shows the title, rank, vessel type, location, join date, contract length, the employer as the advert names it, the job board the advert was published on, and the dates the advert was posted and closes. We publish the same facts to search engines in a standard format for job postings.
3.2 What we never show publicly
- the recruiter's name, email address, telephone number or postal address;
- the salary;
- the text of the advert;
- the address of the original advert on the job board.
The recruiter's contact details are visible only to our own platform staff, and we use them only as section 6 describes.
3.3 In the seafarer portal
Signed-in seafarers see the same adverts in the Job Hunt list of their portal. Where we have no way to pass a seafarer's interest on (see 6.4), the seafarer is given a link to the original advert on the job board so they can apply there.
3.4 Credit to the job board
Every sourced advert on Tideward names the job board it was published on. We record against each board any credit line or link its terms require. If you run a job board and the way your adverts are credited on Tideward does not meet your terms, tell us as section 5 explains, and we will change how your adverts appear or remove them.
3.5 Publication and duplicates
Adverts from some boards are published as soon as they arrive; adverts from others wait until our staff have reviewed them. Our staff can withdraw any advert at any time. Where we detect that the same job appears on more than one board, we show it once.
4. How long sourced adverts stay up
Under our current settings:
- an advert leaves Tideward when its closing date passes;
- an advert leaves Tideward when the job board stops carrying it: after 14 days without being collected again, unless we have set a different period for that board;
- whatever the job board says, no sourced advert stays published for more than 60 days;
- an advert that has left Tideward for one of these reasons is deleted 90 days later, unless we have set a different period for that board.
An advert taken down at someone's request, or withdrawn by us, is kept as a record for the reason given in 5.4.
5. Asking for an advert to be taken down
5.1 Who can ask
Anyone with a reason may ask, including the job board, the employer, the recruiter named in the advert, the owner of rights in the advert's content, a regulator, or anyone who believes an advert is unlawful, fraudulent, discriminatory or misrepresents them.
5.2 How to ask
Email legal@rsm-software.com with the subject "Takedown request", and include:
- the advert's address on Tideward or, if you do not have it, its title, the employer and the job board;
- who you are, how we can reach you, and your connection to the advert;
- why you are asking;
- if you run a job board, whether you want one advert removed or everything we have collected from you, and whether you want us to stop collecting from your board.
5.3 What we do
- We aim to acknowledge your request within five working days.
- We take the advert down when the request comes from the job board, the employer or the recruiter named in it, or when it shows the advert is unlawful, fraudulent or infringes someone's rights. We may ask for information to confirm who you are. Where a request suggests an advert may be fraudulent or harmful, we may withdraw it while we check.
- Taking an advert down removes it at once from the public jobs page and from the seafarer portal, and no seafarer can express interest in it afterwards.
- If a job board asks us to stop collecting, we switch the board off, which removes every advert collected from it at once, and we record that its terms refuse collection so that nothing more is accepted from it.
- We tell you what we have done. If we decide not to act, we tell you why.
5.4 What we keep after a takedown
We keep a record of each takedown: when it happened, why, and who asked. We also keep the removed advert on file, so that if our collection software finds it again it is not published again. We keep each job board's register entry and the receipts of its batches as the record of what we collected and under which terms. If you want personal data in a removed advert erased, see section 8.
5.5 What a takedown cannot undo
A takedown cannot recall an email already sent under section 6. Copies held by search engines may remain until those search engines next visit the page.
6. When a seafarer is interested in a sourced advert
6.1 Seafarers act through Tideward
Anyone can read sourced adverts. To act on one, a seafarer registers on Tideward, signs in, and expresses interest in the advert from Job Hunt. Before they can, their profile must show at least their name, rank and availability, and they must tick a consent line that says what is about to be shared and with whom. We record that consent.
6.2 When the employer is on Tideward
If the employer is a company with an active account on Tideward, we tell that company inside Tideward and do not email the recruiter named in the advert. If the employer's name matches a company on Tideward but we have not confirmed that they are the same company, we do not email the recruiter either.
6.3 When the employer is not on Tideward
If the advert gives an email address for applications, we email that address to say that seafarers on Tideward have shown interest. For each seafarer, the email carries their name, rank and availability as their profile card shows them, and a link to the profile card. It carries nothing else from the seafarer's profile: no contact details, no documents and no identity numbers.
We gather these into one email per address. Interests in any of the adverts that name the same address are collected over a period and sent together, grouped by advert, and a seafarer who expresses interest in the same advert twice is listed once. Under our current settings the period is one day, so an address receives at most one such email a day.
We do not telephone recruiters or write to them by post, and we use a recruiter's contact details only to pass on seafarers' interest as this section describes.
6.4 When we cannot pass interest on
If the advert gives no email address, the seafarer is offered a link to apply on the job board instead. If the recruiter's address has been unsubscribed (see section 7), or earlier emails to it could not be delivered, we still record the seafarer's interest but do not email it.
6.5 After the email
Opening a profile card costs nothing. Anything beyond the card is shared only inside Tideward and only as the seafarer allows, so a recruiter who wants to take things further registers a company account on Tideward. Some features for companies need a paid plan, shown on our pricing page.
6.6 The seafarer stays in control
A seafarer can turn off their profile card link at any time. If they do so before our email is sent, the email does not carry a working link to their card. If they do so afterwards, the link stops showing the card, although the email itself cannot be recalled.
6.7 What we ask of recruiters
If you receive one of these emails, please use a profile card only to consider that seafarer for the position you advertised, do not pass it to anyone who is not involved in that recruitment, and handle it as data protection law requires. Under the Maritime Labour Convention, 2006 (Regulation 1.4), no fees or other charges for recruitment or placement may be borne by seafarers. If you register on Tideward, our Terms of Service and Acceptable Use Policy apply to you.
7. Stopping our emails
7.1 Unsubscribing
Every email we send under section 6 carries a visible unsubscribe link and supports the one-click unsubscribe button that many email programs show. The link opens a page where you confirm.
7.2 What unsubscribing stops
Unsubscribing stops all outreach email from Tideward to that address, for every advert, not only the one the email was about. It does not stop messages about an account you hold with us, such as sign-in links, security notices and anything you asked us for. If an email to your address is returned as undeliverable, or you mark one as spam, we stop sending any email to that address.
7.3 What we keep
We keep your address on a suppression list, with the date and the way you unsubscribed, so that we can go on honouring your choice. Seafarers may still express interest in your adverts on Tideward; we record their interest but do not email you about it.
7.4 If you cannot use the link
Write to dpo@rsm-software.com with the address you want us to stop emailing, and we will stop.
8. Personal data in sourced adverts
8.1 Who is responsible
We are the controller of the personal data described in this section. Our Privacy Policy gives the full picture of how Tideward handles personal data.
8.2 What we hold
- the recruiter's name, email address, telephone number and postal address, as the advert publishes them;
- the employer's name, registration number and country, which can identify a person where the employer is a sole trader;
- a record of the emails we have sent to an address and whether it has unsubscribed.
8.3 Where it comes from
From the job advert, as published on the job board named on it, where it was published so that people could apply.
8.4 Why we use it, and our lawful basis
We rely on our legitimate interests (Article 6(1)(f) of the GDPR) in helping seafarers find work, in passing a seafarer's interest to the person an advert names for applications, and in inviting employers to use Tideward. We limit the effect on you: the contact details never appear on the public page, we send at most one email a day to an address under our current settings, and unsubscribing stops our emails at once. You may object at any time, and we will stop.
8.5 Who sees it
Our own platform staff, and the service providers that host Tideward and deliver its email, listed on our Sub-processors page.
8.6 How long we keep it
We delete it with the advert at the end of the period in section 4. Where an advert has been taken down or withdrawn, we keep it on file for as long as we need to prevent the advert being published again (see 5.4). We keep an unsubscribed address on our suppression list for as long as we need to honour your choice.
8.7 Your rights
You have the right to access your personal data, to have it corrected or erased, to restrict its use and to object to it. To use these rights, write to dpo@rsm-software.com. If you ask us to erase your details, we will do so unless the law allows or requires us to keep them, and we will keep only what we need to stop contacting you. You may also complain to the Commissioner for Personal Data Protection in Cyprus (www.dataprotection.gov.cy) or to the data protection authority where you live or work.
9. Accuracy and reliance
9.1 Adverts are other people's content
A sourced advert was written by the employer or the job board, not by us. We do not check that the job exists or is still open, who the employer is, whether a recruiter is licensed, or the pay and conditions offered.
9.2 What we change
We match ranks and vessel types to Tideward's reference lists, which may use different wording from the original advert. An employer or job board may change or withdraw an advert after we collect it, so what Tideward shows may be out of date.
9.3 Check before you act
Before you rely on a sourced advert, confirm the details with the employer or on the original advert. Where a manning agency is involved, check that it is licensed or certified as the law of its country requires.
9.4 Never pay to be recruited
A genuine recruiter or employer will not ask you to pay to be recruited or placed. If an advert, or anyone you reach through one, asks you for such a payment, do not pay, and report it to legal@rsm-software.com so that we can take the advert down.
9.5 Tideward is not the employer
Tideward is a mediator and never an employer (see our Mediator & employment notice). Showing an advert does not mean that the employer uses Tideward, has any relationship with us, or endorses us, and it is not a promise of employment.
9.6 Our responsibility
For account holders, our responsibility in connection with sourced adverts is set out in the Terms of Service. Nothing in this notice limits liability that the law does not allow us to limit, or your rights as a consumer.
10. Changes to this notice
We update this notice when the way we collect adverts or contact recruiters changes. The version and date at the top show when it last changed.
